SUMMER FESTIVAL Hotel Information

How to get hotel accommodations

1. Alert us of your need for hotel accommodations.

  • This can be done by marking the appropriate field on your online Festival or Festival Scholars application.

  • If you have already submitted your online Festival or Festival Scholars application, and have changed your mind, that you WOULD LIKE hotel accommodations, please contact Festival Director, Michael Patch: mpatch@heartlandchambermusic.org

  • Your request for hotel accommodations must be received by no later than Friday, June 26, 2020.​

2.  HCM will book your hotel room.  Please do not call the hotel to book your own room.

3.  If you have requested a roommate, you will be assigned a roommate.

4.  Once the room has been book by HMC (within the first 2 weeks of July) you will be required to call the hotel and supply them with a credit card.  This card will not be charged until checkin.  You will receive further instructions at that time.

Hotel Accommodation Policies

  • Heartland Chamber Music helps to accommodate the needs of our out-of-town students, including assigning roommates.  However, the agreement for hotel accommodations is between the hotel and the student/family.  Therefore, students/families are responsible for all hotel-related expenses, including additional charges and cancellation fees.

  • Students must be 16 years old to stay at the hotel without a parent or guardian.  Those students younger than 16 must stay with a parent or guardian.

  • Students are required to attend a short orientation meeting at 7pm, on Thursday, July 23rd.  There, you will meet our Housing Representative, Festival Director, Michael Patch, and Festival Artistic Director, Jackie Lee.

  • HMC provides a Housing Representative who will stay at the hotel for the duration of the festival.  This person is available, should the students have any special and immediate needs.  This person will help the students arrange shuttle service to and from the Festival each day.

  • As explained below, students can stay in a room by themselves.  In which case, they are responsible for the entire cost of the stay.  Those students who stay with a roommate will each pay half the cost of the room.  Each room has a queen bed and a fold-out sofa-sleeper.  It is the responsibility of the roommates to determine which person sleeps on which pieces of furniture. 

  • HMC's late cancellation policy:  Students/families that commit to hotel accommodations are expected to follow through with that commitment.  Not doing so places additional financial burdens on HCM.  Therefore, any student/family that backs out of a hotel arrangement AFTER Friday, June 26, 2020, will be charged a $100 cancellation fee.  This fee is in addition to any cancellation fees required by the hotel.

  • Full Room Price, includes tax:  $1,003.30 ($100.33 per night) 

  • Roommate Rice, includes tax:  $501.65 ($50.17 per night)
