How to get hotel accommodations

We have reserved a block of rooms at the Mainstay Suites, directly across from the campus and negotiated a special rate.

Students under 18 traveling  without a parent and any student without transportation must stay at this hotel as this is where our housing manager will reside.

 

Please call Francisca Headrick with the hotel to book your room by June 27th at 720-300-8945. Tell her you are booking a room in the Heartland Chamber Music Block to receive the special rate. You will need to provide them your credit card information at this time. The card will not be charged until check-in on July 27th.  If you are under 21, a parent or guardian must check you in or you must notify us of your arrival time by July 1st so that someone from our team can check you in.

Festival Pricing

  • Check-in: Thursday, July 27, AFTER 3 pm

  • Check-out: Sunday, August 6, BEFORE 11 am

  • Queen Studio Full Room Price for 10 nights, plus tax: $490 + tax ($49 + tax per night)

  • There are limited number of shared one bedroom suites available. Price for 10 nights, $690 + tax ($69 per night + tax) $34.50 per student per night. You must contact HCM if you would like to be paired with a roommate.

Hotel Accommodation Policies

  • Heartland Chamber Music helps to accommodate the needs of our out-of-town students, by negotiating the best rates. However, the agreement for hotel accommodations is between the hotel and the student/family. Therefore, students/families are responsible for all hotel-related expenses, including additional charges and cancellation fees.

  • Students must be 16 years old to stay at the hotel without a parent or guardian. Those students younger than 16 must stay with a parent or guardian.

​

  • Students 18 and over with transportation or students traveling with an adult may stay at any hotel of their choice, but they are responsible for getting themselves to and from the festival daily. *See additional hotel links and ride tips below.

  • Each student will have his or her own room as all rooms are now singles at the Mainstay.

​

  • Students staying at the Mainstay Suites are required to attend a short orientation meeting at 7 pm, on Thursday, July 27th.  There, you will meet our Housing Representative and Festival Manager.

​

  • HCM provides a Housing Representative who will stay at the hotel for the duration of the festival. This person is available, should the students have any special and immediate needs. This person will help the students arrange shuttle service to and from the Festival each day.

​

  • As explained below, students will stay in a room by themselves at the Mainstay. Each room has a Queen bed and a kitchen so students may bring food in for breakfast, dinner, and snacks if they like. 

​

  • HCM's late cancellation policy: Students/families that commit to hotel accommodations are expected to follow through with that commitment. Not doing so places additional financial burdens on HCM. Therefore, any student/family that backs out of a hotel arrangement AFTER Wednesday, June 28, 2023, will be charged a $100 cancellation fee.  This fee is in addition to any cancellation fees required by the hotel.

Transportation Needs

Johnson County provides a less expensive alternative to Uber should students/families desire to use it. Micro Transit rides are $3-$5 each depending on the distance. It operates daily from 6 a.m. - 8 p.m.. You may download the app and use a credit card or they may have exact cash for the driver.
